HR Administrator

We are looking for a highly organized and detail-oriented HR Administrator to manage critical HR operations across our multi-entity structure. Reporting directly to the COO, you will be the backbone of our HR function, focusing on accurate payroll inputs, meticulous documentation, and compliance.
Key responsibilities
- Full HR documentation cycle: manage the complete HR document lifecycle, including preparation, routing for signatures, archiving, and controlling GDPR access.
- C&B and Payroll inputs: prepare monthly C&B and payroll inputs, including gathering changes (hires/terminations, rates, bonuses, leaves/sick days), validation, and submission to Accounting by the cut-off date; perform post-payment reconciliations.
- Contract administration: administer employment contracts (PL/LT/UA), B2B agreements according to policy, NDAs, supplementary agreements, and offers using approved templates.
- HRIS Management: maintain the HRIS (BambooHR); manage onboarding documentation up to Day 1.
- Request management: process and issue certificates (of employment/income) promptly within the SLA; maintain a request register.
- Invoice coordination: maintain a register of B2B invoices and synchronize with the Finance department.
Mandatory requirements
- 2+ years of professional experience in HR Administration, Payroll Inputs, or C&B. Experience in multi-entity or international companies.
- Proficiency in HRIS (BambooHR or similar), experience with Google Workspace and Jira.
- Languages:
- English: C1
- Ukrainian/Russian: Native/Bilingual
- Polish/Lithuanian: a plus
- Exceptional attention to detail, a high degree of confidentiality, and strong deadline discipline.
